Privacy Policy

This policy explains what information UA Flag Canada ("UA Flag," "we," "us") collects when you create an account or register a player for our flag football programs, how we use it, and the choices you have. We take the privacy of families seriously — especially because much of what we handle relates to children.

Who this policy covers

This policy applies to everyone who uses our registration platform — parents and guardians, players, coaches, and volunteers — across all UA Flag locations in Canada. Accounts are created by adults; players who are minors are registered by a parent or guardian who provides their information and consents to this policy on their behalf.

Information we collect

We collect only what we need to run our programs:

  • Account information. When you sign in with Google, we receive your name, email address, and profile photo from Google. We never receive or store your Google password.
  • Player information. The details you enter on a registration form — a player's name, date of birth, gender, the program/division and location they're registering for, and any optional fields a form asks for (such as school, shirt size, friend requests, or coaching interest).
  • Parent / guardian contact details. Name, email address, phone number, and mailing or billing address.
  • Waivers and consents. The agreements you accept and the signature you provide during registration, including media/photo consent where applicable.
  • Payment information. Payments are processed by Stripe. We receive a confirmation and limited details (such as the amount and the last four digits of a card) but we do not collect or store full card numbers.
  • Technical information. Standard log and device data (such as IP address, browser type, and pages viewed) and cookies needed to keep you signed in and to operate the site.

How we use your information

  • Register players and place them on the correct teams, divisions, and locations.
  • Process registration fees and issue receipts.
  • Communicate with you about your registration — schedules, confirmations, reminders, and important program updates.
  • Contact a parent or guardian in case of a player-safety or emergency situation.
  • Operate, maintain, and improve the platform.
  • Meet our legal, accounting, and insurance obligations.

We rely on your consent to collect and use this information, which you provide when you create an account and complete a registration. You can withdraw consent at any time (see “Your choices” below), though doing so may mean we can no longer provide certain services.

When we share information

We do not sell your personal information or share it for advertising. We share it only in these limited ways:

  • With our local operators and coaches — the people running your child's program — so they can roster teams and run sessions safely.
  • With service providers that run the platform on our behalf, under agreements that limit their use of the data: Supabase (database, accounts, and hosting), Stripe (payment processing), Google (sign-in and our internal workbooks), Resend (email delivery), and Vercel (application hosting).
  • When required by law — for example to comply with a legal request, or to protect the safety of a child or other person.

Where your information is stored

Our platform and several of our service providers operate from data centres in the United States, so your information may be stored and processed there and may be accessible to authorities in that country under its laws. We use reputable providers and contractual safeguards to protect it wherever it is handled.

How long we keep it

We keep registration and account information for as long as your account is active and as long as needed to run our programs, meet legal and financial obligations, and resolve disputes. When information is no longer needed, we delete or anonymize it.

How we protect it

We use industry-standard safeguards — encrypted connections, access controls, and trusted infrastructure providers — to protect your information. No system is perfectly secure, but we work to reduce risk and respond promptly if an issue arises.

Children's privacy

Our programs are for children, but our platform is designed to be used by parents and guardians. Information about a minor is provided by the adult registering them, who consents to this policy on the child's behalf. If you believe a child has provided us information without a parent's involvement, contact us and we will remove it.

Your choices and rights

Under Canadian privacy law you may ask to access the personal information we hold about you, ask us to correct it, or withdraw your consent to our use of it. To make a request, email us at the address below. We may need to verify your identity before acting on a request.

Cookies

We use cookies that are necessary to keep you signed in and to operate the site. We do not use them for third-party advertising.

Changes to this policy

We may update this policy from time to time. When we make material changes, we'll update the “Last updated” date above and, where appropriate, let you know directly.
